Refund
& Payment Dispute
Policy
Specialty Notary, LLC is committed to providing professional, timely, and reliable services. Appointments and specialty service requests may require advance scheduling, travel, document review, administrative preparation, coordination with third parties, government processing, shipping, or other expenses.
This policy explains the terms applicable to cancellations, rescheduling, refunds, no-shows, payments, and payment disputes.
Appointment Cancellations & Rescheduling
Clients may cancel or reschedule a scheduled appointment up to two (2) hours before the appointment time without penalty.
Cancellations or rescheduling requests received less than two (2) hours before the scheduled appointment are subject to a $15 cancellation fee.
Any non-refundable third-party expenses, government fees, shipping charges, courier fees, filing fees, or other costs already incurred on the client’s behalf remain the client’s responsibility regardless of when the appointment or service is canceled.
No-Shows & Client Unavailability
A client or signer who is not present, does not respond, or is otherwise unavailable within 15 minutes of the scheduled appointment time may be considered a no-show.
When payment has been collected in advance, any applicable refund will be issued less a $25 travel fee and any other non-refundable costs already incurred on the client’s behalf.
If Specialty Notary has traveled beyond its standard service area or the appointment requires additional travel, any separately disclosed and agreed-upon travel fee may also remain non-refundable once travel has commenced.
*** Certain specialty services, including jail and detention facility appointments, may have different cancellation, travel, appointment, or non-refundable fee provisions as stated below in the applicable service-specific section of this policy.
When a Notarial Act Cannot Be Completed
Payment of an appointment or travel fee does not guarantee that a notarization can be performed.
Specialty Notary must comply with applicable notarial laws and professional requirements. A notarial act may be declined or discontinued when circumstances prevent the notary from lawfully or appropriately proceeding, including, but not limited to, situations involving identification, willingness, required parties or witnesses, incomplete documents, or other conditions affecting the performance of the requested notarial act.
When Specialty Notary has arrived for the appointment but the notarization cannot be completed due to circumstances involving the client, signer, documents, identification, witnesses, or other requirements outside Specialty Notary’s control, applicable travel, appointment, and services already performed may remain payable and/or non-refundable.
This provision does not apply when the inability to perform the service results from Specialty Notary’s own cancellation or failure to provide the agreed service.
Completed Notarizations
Fees for notarizations that have been properly completed are non-refundable.
Specialty Notary does not guarantee the legal sufficiency, validity, acceptance, or intended effect of a client’s document. Notarization does not constitute legal advice, and Specialty Notary does not determine whether a document will accomplish the client’s intended legal purpose.
Service-Specific Refund Provisions
Notarial & Signing Services
Mobile Notary & General Notarization Services
For mobile appointments, travel and scheduling resources are committed specifically to the client’s appointment.
Once travel to the appointment has commenced, applicable travel fees may be non-refundable even if the notarization ultimately cannot be completed for reasons outside Specialty Notary’s control.
Completed notarizations are non-refundable.
Additional services requested during the appointment may result in additional charges when disclosed and accepted by the client.
Remote Online Notarization (RON) Services
Remote Online Notarization appointments are conducted electronically through an authorized RON platform and may be subject to identity verification, credential analysis, technology, platform, document, signer-location, and other requirements applicable to the transaction.
The client and signer are responsible for having the necessary identification, compatible technology, reliable internet access, and other information or equipment required to participate in the remote session.
Payment for a RON appointment does not guarantee that the notarization can be completed. A session may be delayed, declined, or discontinued if applicable requirements cannot be satisfied or if circumstances prevent the notary from lawfully or appropriately completing the requested notarial act.
Completed Remote Online Notarizations are non-refundable.
If a RON session cannot be completed because of circumstances involving the client or signer—including failure to satisfy identity verification requirements, insufficient identification, technology or connectivity issues on the signer’s side, failure to appear for the scheduled session, or inability to meet other applicable requirements—fees attributable to services already performed and non-refundable platform or third-party costs may remain payable or non-refundable.
If a technical failure attributable to Specialty Notary or its selected platform prevents completion of the session, Specialty Notary may, as appropriate, provide an opportunity to reschedule or refund amounts paid for services that were not provided, subject to the general terms of this policy.
Jail & Detention Facility Notary Services
Jail and detention facility appointments require advance coordination, travel, facility access, and scheduling that may be subject to the policies and operations of the applicable correctional facility.
Once Specialty Notary has commenced travel to the facility or arrived for the scheduled appointment, applicable travel and appointment fees ($50 for Carroll, Coweta, and Douglas County jails, and $75 for Dekalb county jail) are non-refundable, even if the notarization cannot be completed due to circumstances outside Specialty Notary’s control.
Such circumstances may include, but are not limited to, facility lockdowns or restrictions; changes in visitation or notary access; an inmate being transferred, released, relocated, or otherwise unavailable; facility delays; inability to satisfy identification or facility requirements; the inmate declining to sign; or other conditions that prevent Specialty Notary from completing the requested service.
Specialty Notary cannot guarantee access to an inmate, or the amount of time required for facility processing.
If Specialty Notary is unable to perform the appointment for reasons attributable solely to Specialty Notary, the client may choose to reschedule when appropriate or receive a refund of amounts paid for services not provided, subject to the general terms of this policy.
Notarizations that are successfully completed are non-refundable.
Estate / Life Planning Signing Support
Appointment fees may become non-refundable once Specialty Notary has reserved the appointment, commenced travel, coordinated requested witnesses, or begun providing the agreed signing support.
Specialty Notary provides document execution and notarial support and does not prepare estate planning documents or provide legal advice regarding their meaning, sufficiency, or legal effect.
Questions concerning the contents of estate planning documents must be directed to the client’s attorney or document preparer.

Completed translation orders are non-refundable. Translation, certification, rush processing, shipping, and other third-party charges are non-refundable once incurred unless refunded by the provider.
Clients are responsible for providing complete and legible source documents and communicating any known requirements of the receiving organization. Specialty Notary does not guarantee third-party turnaround times or acceptance of translated documents by a particular agency, court, educational institution, consulate, embassy, business, or other receiving organization.
If a concern with the completed translation arises, Specialty Notary will coordinate with the translation provider for review. Any correction, revision, or refund relating to the translation itself may be subject to the provider’s policies.
If Specialty Notary is unable to provide the agreed coordination service for reasons attributable solely to Specialty Notary, amounts paid for services not performed will be handled in accordance with our general refund provisions.
